AI meeting notes: who else is in the call?

AI note-takers record, transcribe and store your meetings somewhere. Decide where, and tell people before you start.

AI note-takers are everywhere now. They join the call, record it, transcribe it and send a neat summary to everyone. Useful. They also create a full written record of conversations that used to disappear.

Things to settle before turning one on:

  • Where the recording and transcript are stored, for how long, and whether the vendor uses them to train models.
  • Who receives the summary. Some tools email it to every attendee, including external ones, by default.
  • Consent. Tell people at the start, and turn it off when someone asks. In many countries recording without consent is illegal.
  • Which meetings are off-limits: HR, legal, salaries, security incidents, anything under NDA.

Also watch for bots you didn’t invite. Some tools join every meeting on a user’s calendar automatically, including your meeting with them.

A transcript is a document. Treat it like one.
